Follow the below steps to get your Astute account set up. This is how you will be paid by JK.
Before setting up your Astute account, you will need to get the following ready:
- Tax File Number
- Superannuation Fund Name, ABN/USI & Member Number
- Bank Name, BSB & Bank Account Number
- Download the Google Authenticator app on your phone
1. Click on the link provided from the invitation email (highlighted in yellow below)
2. Follow the requirement to create your password and answer the security questions → Click “Set Password”.
**Please keep a record of your password and answers to the security questions**
3. Click the “Personal Details” under “Your Profile” and set up a 2-factor authentication as prompted (same step if you are accessing the portal via your phone)
Then, click “Set up 2FA Now”
Click “Authentication using mobile app”
If you are accessing the Portal from your computer
- Open the Google Authenticator App on your phone
- Press “+” sign on the bottom right of the Google Authenticator App on your phone
- Select “Scan a QR code” → scan the QR code from your computer
If you are accessing the portal from your phone
- Take a screenshot of the QR code
- Go to your album → Go to the picture of the QR code → long press the 16 digits secret code → copy
- Open the Google Authenticator App on your phone
- Press “+” sign on the bottom right of the Google Authenticator App on your phone
- Select “Enter a setup key”
- Account → JK Personnel
- Key → paste the 16 digits secret code from the picture of the QR code
Click “Next”
Enter the code from the Google Authenticator
(When the code turns red, it means it’s going to expire soon. You can wait for a new set of code)
Enter your email address
(For backup purposes. When you cannot access your phone to get a code, you can request the system to send a code to your email)
Click “Next”
A code will be sent to your email
Enter the code from your email and click “Next”
Click “Next”
4. Update your personal information by clicking “Personal Details” under “Your Profile”. It is essential to fill out all information marked “!”
**Make sure you SAVE every page that has been completed**
5. Fill out the Visa Type under “Employment Eligibility” if you are holding an Australian Visa and SAVE
6. Fill out the bank details and SAVE
7. Click on the “Start TFN Declaration” to fill out your Tax Information
8. Fill out the Super Fund Details and
a. Enter the ABN or USI for your super fund.
b. If you don’t have a super fund, tick “use super fund nominated by employer”
c. If you don’t have a super fund, tick “use super fund nominated by employer”
d. Enter your name with your Super Fund and your member number. Click “SAVE”
e. If you opt to use the super fund nominated by JK, enter your name and leave the member number empty. You will receive a letter by post containing your member number directly from the super fund (Prime Super) after your first super contribution is processed. JK Personnel is required by law to make super contributions at least 4 times a year, at the end of Jan, Apr, Jul and Oct). However, super contributions may also be made more frequently throughout the year.
9. Click “Save & Complete” of the page and you are ready to go!
What’s Next?
- Bookmark the portal URL for your future login: https://jkpersonnel.astutepayroll.com/login.
- Your username to the portal is your firstname.lastname (not your email address)
- You can update your personal information, submit your timesheet and access your payslips via the portal.
- Not everyone is required to submit timesheets. If your host employer provides your hours to JK directly, you are not required to submit timesheets and no timesheet will be available on your portal. You will be informed during your induction whether you need to submit a timesheet or not. If you are not sure, you can click “Timesheet” on the portal to check if there is any timesheet available.
- If you are required to submit a timesheet, you can click “Timesheet” and select the relevant date to lodge your hours. You can “SAVE” your daily hours but only “SUBMIT” your timesheet after you have entered all your hours for the week. After submitting your timesheet, it will be sent to your approver for approval.
- If you did not work for the week, please tick “I did not work for this period” on the relevant timesheet to notify us.
- If your job is finished and you are not working with the host employer anymore, please tick “My employment finishes this week” on your final timesheet.
- The timesheet submission due date is 9am Monday morning. Late timesheet submission may result in a potential delay in pay processing.
